Streamlining Cargo Survey Operations with Integrow’s Unified Platform
One system instead of four disconnected systems. Aegiros Cargo Surveyors was managing every job file across QuickBooks, Excel, email, and cloud storage. Here is what changed when they moved to Integrow.
Overview
The Challenge: Four Places to Search for One Job File
Aegiros Cargo Surveyors provides independent cargo surveying and insurance consultancy for insurers, brokers, logistics operators, cargo owners, and shipping lines. Every assignment comes with its own file, its own documentation, and its own deadline, across sea, road, rail, and air transport.
Before Integrow, client and job information lived in QuickBooks, Excel, email, and cloud storage. Finding a single photo, report, or invoice meant searching all four, with no way to pull up a job by file number or client reference. As Saad Saleem put it:
“If I needed a photo or an invoice for a specific file, I was searching across four different places, and there was no way to just type in a file number or a client reference number and pull everything up.”
- Manual checklists: Survey requirements differ for containerized, heavy lift, and inland transit cargo, so checklist consistency fell entirely on the team.
- Slow reporting Surveyors returned from the field and typed reports by hand, pulling notes and photos together manually. Competitors were turning reports around in 24 to 48 hours.
- Currency workarounds QuickBooks converted USD invoices into CAD without being asked, forcing a constant workaround.
- Disconnected time and vendor tracking Hours, assignments, and subcontractor activity sat in separate spreadsheets instead of on the job record.
The Decision: A Platform That Fits How Cargo Surveys Actually Run
Aegiros needed a system that could flex around a specialized, field-based workflow rather than force the team into a generic one. Integrow’s industry agnostic platform met Aegiros’ requirements out of the box and could be configured around unique file numbers, cargo-specific checklists, and multi-currency billing, all under one license.
“What made Integrow the right fit was that it is not a rigid, one-size-fits-all platform. It is industry agnostic, so we could configure it around how a cargo survey actually runs, and there are no hidden fees layered on top of the license. That mattered to us as much as the features did.”
The Integrow team mapped Aegiros’ workflow end to end, from how a unique file number is assigned to every job to how a checklist should differ between a marine cargo survey and a transit incident assignment. Onboarding kicked off on September 2, 2026, and Aegiros went live on the Integrow platform about four weeks later, on October 1.
The Solution
One Searchable Home for Every Job
“Our team can pull up a file by number or client reference in a second, from anywhere, instead of digging through folders on our computer.”
Checklists Configured by Cargo Type
Billing in the Currency the Job Came In
Invoices keep their original currency by default, ending the USD to CAD workaround. QuickBooks data now sits alongside everything else in a single 360 dashboard.
“Now we bill in the currency the job actually came in, and our QuickBooks data sits right alongside everything else in one dashboard, so our team has one place to look instead of five.”
Time Tracking Tied to the Job Record
Looking Ahead: Faster Client Reporting
“If you are running a services business where the details of every job matter, Integrow gave us one system that actually reflects how we work, instead of forcing us to work around the system.” – Saad Saleem, Principal Surveyor at Aegiros
